ChalkScore Terms of Service
Replaced on 12 October 2026 by the Invert Systems Terms of Service, which cover every product. A club that accepted this version keeps it until it accepts the new terms, or until its next ChalkScore renewal.
Invert Systems — ChalkScore Version 1, 8 October 2026.
The short version
- ChalkScore runs your club's gymnastics competitions: entries, the running order, scoring at the table, live results for parents, and the printed results, awards and certificates afterwards.
- You pay for a year, or for one competition. Prices include GST.
- Your data stays yours. We hold it only to run ChalkScore for you, it is stored in Australia, and our Club Data Processing Agreement says exactly how we look after it.
- If your subscription ends, you don't lose your results. Your club turns read-only — you can still view, print and download everything — for 90 days, after which your club's information is deleted.
- You can leave at any time, and nothing in these terms takes away your rights under the Australian Consumer Law.
1. Who these terms are between
Invert Systems, a business operated by Vaughn Ray Edmonds as a sole trader, ABN 44 869 392 328, Goulburn, New South Wales, Australia — "we", "us" and "our" below. Contact: vaughn@invertsystems.com.au.
The club or organisation that subscribes to ChalkScore — "the club" and "you" below. A league or association that runs competitions is a "club" for the purposes of these terms.
A club accepts these terms when the person setting up its ChalkScore — its owner in Invert Core — accepts them on the club's behalf, or when the club signs an order or quote that refers to them. That person confirms they are authorised to bind the club.
2. What these terms cover
These terms are the commercial agreement for the club's use of ChalkScore. They sit alongside two other documents, which form part of the agreement:
- the Club Data Processing Agreement — how we handle the personal information the club puts into our products, including children's information; and
- our Privacy Policy — written for parents, and the club may point families to it.
Both are published at www.invertsystems.com.au/legal. Where these terms and the Club Data Processing Agreement disagree about personal information, the Club Data Processing Agreement applies. Where a signed order or quote agreed with the club disagrees with these terms, the order or quote applies.
3. What ChalkScore is
ChalkScore is software for running gymnastics competitions. It is designed for competitions run under Gymnastics Australia's Futures League program, and for a club's own in-house competitions on the Futures League skill sheets. As at the date of these terms it provides:
- competition and session setup, gymnast and team records, judges, and the running order;
- a public entry form for visiting clubs, with a private link back in for each entering club, and the organiser's view of entries;
- scoring at the table by a scorer station, or on judges' own devices;
- a live leaderboard for a projector, an announcer's screen, and a public results page for parents reached by a link or QR code;
- checks for missing and unusual scores, and a record of every score change;
- printed results, podium and award sheets, certificates and analytics.
Live scoring covers the Futures League POWER division. Judge sheets print for the other divisions, but they are not scored live. ChalkScore needs an internet connection at the venue; scores entered while the connection drops are held on the device and sent when it returns.
We may improve, change or replace features over time. We will not remove something the club relies on to run a competition during a period the club has paid for without at least 30 days' notice, and if a change leaves the club materially worse off, the club may end its subscription and receive a pro-rata refund of the unused part of what it paid.
4. Plans and prices
All prices are in Australian dollars and include GST.
| Plan | Price | GCA member price | What it covers |
|---|---|---|---|
| Annual | A$290 a year | A$190 a year | Every competition the club runs during the year |
| Single competition | A$199 | A$129 | One competition, named when it is bought (section 5) |
| Organisations | By written quote | — | Leagues, associations and clubs running many competitions a season |
- GCA member pricing is for clubs that are members of Gymnastics Clubs Australia. The club must be a current member when it subscribes and at each renewal, and we may ask for evidence. A club that stops being a member moves to the standard price at its next renewal.
- Price changes apply only from the club's next renewal, and we will tell the club at least 30 days before. A price agreed in a quote stays as agreed for the period the quote covers.
- Payment. Payment is made through Invert Core's checkout when it is available for the club, or against our tax invoice, payable within 14 days. We issue a tax invoice for every payment.
- Late payment. If an invoice is more than 14 days overdue, we will remind the club in writing. If it is still unpaid 14 days after that reminder, the club's ChalkScore turns read-only (section 10) until it is paid.
5. The single-competition plan
A single-competition purchase covers one competition: the competition named when it is bought, on its date.
- The club can set the competition up, take entries and run it from the time of purchase.
- Full access lasts until 14 days after the competition date, so the club can finish results, awards, certificates and reprints. After that the club turns read-only (section 10).
- The purchase covers that one competition only. It cannot be used for a second competition, and moving it to a different competition needs our agreement in writing.
- If the competition is postponed, we will move the purchase to the new date on request.
- A club that buys an annual plan within 30 days after a single-competition purchase may ask us to credit what it paid for the single competition against the annual price.
6. Renewal and cancellation
- The annual plan renews for another year at the end of each year unless the club cancels before the renewal date. We will email the club's owners at least 14 days before each renewal.
- The club may cancel at any time. Cancelling stops the next renewal; the club keeps full access until the end of the year it has paid for.
- Refunds. We do not refund part-used annual periods, except where these terms or the Australian Consumer Law say otherwise. A single-competition purchase is refunded in full if the club cancels at least 14 days before the competition date and before any score has been entered for it.
7. Accounts, roles and devices
- Staff accounts. The club's staff sign in to ChalkScore with their Invert Core account. The club's owners invite staff in Invert Core and choose each person's role: owner or editor (full use of ChalkScore) or viewer (read-only). The club is responsible for inviting only the people who need access, giving the least role they need, and removing people who leave.
- Scoring stations. Judges and the scorer station sign in with a PIN, without an account. A PIN works only on a device that has opened the club's station link, which a club admin finds in ChalkScore's settings. The club must keep its station link and PINs to its own people, change a PIN that may have been seen, and make a new station link if a device is lost.
- Security. The club must tell us promptly at vaughn@invertsystems.com.au if it believes an account, PIN or station link has been misused.
8. The club's information
- It is the club's. Everything the club and its people put into ChalkScore — competitions, gymnasts, entries, scores and results — belongs to the club. The club gives us permission to hold and use it only to provide, secure, support and repair ChalkScore for the club, as set out in the Club Data Processing Agreement.
- We do not use it for anything else. We do not sell it, use it to advertise, use it to train any artificial-intelligence model, or combine it with another club's information.
- Visiting clubs. When other clubs enter gymnasts in the club's competition, the information they give (their contact details, and their gymnasts' names, dates of birth, levels and photo consent) is held as part of the club's competition, and the club is responsible for it as it is for its own.
- Public results. ChalkScore publishes a competition's results to anyone with the competition's results link or QR code, and shows them on the club's projector and announcer screens. Results show each gymnast's name, club, level and scores; placings and awards appear once the club publishes them. Where a gymnast's family has not given consent, public screens show only the gymnast's first name and the first letter of their last name. The club is responsible for recording that consent accurately and for telling families that results are published.
- Getting it out. The club can download its results at any time (spreadsheet and PDF). On request we will give the club a complete copy of its ChalkScore information within 14 days.
9. What the club is responsible for
- Collecting information lawfully, and telling families and visiting clubs how their information is used, including that results are published (section 8).
- The accuracy of its competitions. ChalkScore calculates scores, ranks and bands from what is entered and the competition's settings, and flags missing and unusual scores. The club remains responsible for checking results before it publishes placings or presents awards, and for its judges' decisions.
- Following the rules of its sport, including Gymnastics Australia's member protection and child safe policies, in how it runs its competitions and handles gymnasts' information.
- Using ChalkScore properly. The club must not: use it for anything unlawful; put in information it has no right to use; try to reach another club's information; probe, overload or test ChalkScore's security without our written agreement; copy, resell or reverse engineer it; or let anyone outside the club use its access.
10. When the club's ChalkScore ends or is paused
ChalkScore ends for a club when it cancels and its paid period finishes, when a single-competition period finishes, or when either of us ends the agreement. It is paused if an invoice is unpaid (section 4). In each case:
- The club turns read-only. Its staff can still sign in and view, print and download all of its competitions, results, certificates and reports, but cannot create a competition or enter a score, and its judges' and scorer's PINs stop working.
- Public results stay up, so families can still see past results.
- Renewing restores full access immediately, with nothing lost.
- After 90 days, if the club has not renewed, we give the club a complete copy of its information on request and delete it, as set out in the Club Data Processing Agreement. Our backups are kept for 30 days, so the last copy is gone no more than 30 days after that.
11. Availability and support
- We work to keep ChalkScore available at all times, and especially during competitions. If the club tells us its competition dates at least 7 days ahead, we will not make planned changes to ChalkScore during them. We cannot promise it will never be interrupted: it depends on the venue's internet connection, and on the services listed in the Club Data Processing Agreement. The club should keep paper judge sheets as a backup at every competition.
- Support is by email to vaughn@invertsystems.com.au. We answer within one business day, and on a competition day the club has told us about, as quickly as we can.
- Backups of ChalkScore are taken every night, checked, and kept for 30 days, including an encrypted copy stored away from the server.
12. Our intellectual property
ChalkScore, its software and its design belong to us. The club receives the right to use ChalkScore for its own competitions while its subscription lasts. If the club sends us ideas or feedback, we may use them freely, without any obligation to the club.
13. Australian Consumer Law, and limits on liability
- Your rights. ChalkScore comes with guarantees that cannot be excluded under the Australian Consumer Law. Nothing in these terms excludes, restricts or modifies any right or remedy the club has under that law.
- Our liability. To the extent the law allows, if we fail to meet these terms, our liability is limited to supplying the service again or refunding what the club paid for the affected period, and in any case to the total the club paid us in the 12 months before the claim.
- Indirect loss. To the extent the law allows, neither of us is liable to the other for loss of profit, revenue or goodwill, or for indirect or consequential loss.
- What these limits do not cover. They do not limit either party's liability for breach of the Club Data Processing Agreement, for fraud, or for anything that cannot be limited by law.
14. Ending the agreement
- The club may end the agreement at any time by telling us in writing (section 6 covers what happens to a paid period).
- We may end the agreement with at least 30 days' written notice, refunding the unused part of any period the club has paid for.
- Either of us may end the agreement straight away by written notice if the other seriously breaches these terms and does not fix the breach within 14 days of being told about it in writing.
- Sections 8, 10, 12 and 13 continue after the agreement ends.
15. Changes to these terms
We will give the club at least 30 days' notice by email of any change to these terms. A change applies from the club's next renewal, unless the law requires it sooner or it does not disadvantage the club. If the club does not accept a change, it may end the agreement before the change applies and receive a pro-rata refund of the unused part of what it paid.
16. Notices
We send notices by email to the club's owners at the email addresses of their Invert Core accounts. The club sends notices to us at vaughn@invertsystems.com.au. A notice sent by email is received when it reaches the recipient's inbox, unless the sender is told it was not delivered.
17. Disputes and law
If a dispute arises, we will first try to resolve it by talking directly. If that does not resolve it within 30 days, either of us may refer it to mediation through the Australian Disputes Centre in Sydney before starting court proceedings, except where urgent relief is needed. These terms are governed by the law of New South Wales, Australia, and both of us submit to the courts of New South Wales.
18. General
- The whole agreement. These terms, the Club Data Processing Agreement, the Privacy Policy and any signed order or quote are the whole agreement between us about ChalkScore.
- Transfer. The club may not transfer this agreement without our written consent. We may transfer it to a business that takes over ChalkScore, if we tell the club in writing and the new business agrees to these terms and the Club Data Processing Agreement.
- If part is invalid, the rest still applies.
- Not insisting on a right at one time does not give it up.
- Events beyond our control. Neither of us is responsible for a failure caused by something outside its reasonable control, such as a widespread internet or power outage, as long as it tells the other promptly and does what it reasonably can to limit the effect.
Previous versions of these terms are kept, so it is always possible to establish what they said on a given date.
